TTI Environmental, Inc. has an immediate opening for a Construction-Environmental Administrative Coordinator to support the environmental construction and contracting group. This is an in-person position at our Moorestown, NJ office. The ideal candidate will have experience in administrative support for construction or environmental contracting projects.
Location: Moorestown, New Jersey (Position is In-Person/In-Office)
Position Responsibilities
The Administrative Coordinator will manage pre-construction activities, contracts, procurement, subcontractor coordination, reporting, expense management, and project closeout for TTI’s Construction and Contracting Division.
Key duties include:
- Contracts document management
- Management of project drawings and specifications
- Vendor and supplier setup and commitments
- Subcontractor contracts management
- Transitioning projects from pre-construction to the management team
- Site access and security clearance processing
- Completing regulatory filings and reports
- Client invoice preparation, payment applications, and value schedule development
- Proposal and bid document management
- Organizing and scheduling project kickoff and departmental meetings
- Contract change management
- Managing surety requirements, closeout, and reporting
- Generating monthly project reports
- Managing employee training and certifications
- Verifying payment applications
- Providing project closeout documents (e.g., warranties, O&M manuals, closeout reports)
- Assisting with onboarding and support for new staff
- Other duties as assigned
Skills and Qualifications
- Highly motivated, quick learner, and proactive team member with a positive attitude
- Experience with ProCore Construction Management Software preferred
- High proficiency in Microsoft Office Suite and Adobe
- Strong problem-solving skills with the ability to make independent decisions
- Ability to manage multiple assignments in a fast-paced environment
- Exceptional organizational and time-management skills with strong attention to detail
- Excellent verbal and written communication skills, capable of engaging with peers, clients, and leadership
